Proctor Information

The Purpose of the Proctor

A proctor ensures that testing is done under secure conditions. The proctor is an approved neutral person within the proximity of the student that guarantees learners enrolled in an eCore course are those completing the eCore midterm and final exams. Test site proctors ensure that eCore courses and their exams meet the standards of the Higher Education Act Reauthorization of 2008.

The Responsibilities of the Proctor

  • Receive exam instructions, which are sent to the proctor several days before the window opens.
  • Ensure the identity of test-takers by requiring a government-issued photo ID with signature such as a valid Student ID Card, State-issued driver’s license, or passport (students who do not provide a satisfactory ID must be turned away).
  • Maintain proximity with and monitor the student during the entire test-taking period to ensure the student does not use any unauthorized aides at any time during the exam.
  • Ensure all necessary technologies are available and working. Most eCore exams are delivered via the University System of Georgia learning management system - GeorgiaVIEW Blackboard Vista 8.
    • For the exceptional; paper-based exams (paper/pencil), the proctor should download the exam from GeorgiaVIEW Vista 8 (using their own assigned username/password) and print the exam before the student arrives.
  • Ensures that the student only has access to the exam only during the time period allowed by the instructor.
  • The proctor must follow the instructor's requirements for administering the exam. These may include a time limit and inclusion or exclusion of books, calculators, notes, etc.
  • For the occasional paper-based exam, the proctor must return testing materials in an appropriate self-addressed and stamped envelope (supplied by the Testing Coordinator), immediately after the student completes the exam (cost of postage and a pre-addressed label are provided by the eCore Testing Coordinator).

List of Approved Proctors

A student may request for a testing center to be added to the List of Approved Testing Centers. Only public testing centers and institutions that are able proctor exams according to the eCore exam requirements and the eCore Academic Honor Policy may be added to the List of Approved Testing Centers. The eCore Testing Coordinator staff carefully screens each requested testing center. To apply to become an approved testing center, fill out and mail this form.

What technology must the proctor have access to at the testing site?

Each proctor must be comfortable with technology and have the ability to use the following::

  • A valid and working e-mail address
  • Internet access for downloading PDFs (Adobe Acrobat files) from a secure website (Exams are distributed to proctors via the Internet.)
  • A printer
  • Internet access for students taking internet-based exams
  • Compatible browser for Blackboard Vista 8 (check browser)

How does the proctor receive exams and return them to eCore faculty?

  • Exams are given on GeorgiaVIEW (Blackboard) Vista 8. The eCore Testing Coordinator will inform the proctors of the password and any additional exam information just prior to the exam window. 
  • For paper-based exams, the exam will be available in PDF format in the File Manager of a secure section in the GeorgiaVIEW (Blackboard) Vista 8 learning management system. The eCore Testing Coordinator will send proctors a username and password. Additionally just prior to the exam window, the eCore Testing Coordinator will send an Exam-Ready e-mail to the proctors. The proctor will log on to eCore’s Blackboard Vista 8 site, print the exam, and administer it to the student according to the instructions provided by the eCore Testing Coordinator. The eCore Testing Coordinator will send a self-addressed and stamped envelope to the proctor for returning the paper-based exam.
